Managing Your Program Team

The My Team tool allows Program Admins to quickly add staff members to their program without each person needing to go through the full claiming process. This tool is also where you manage internal permissions and data-sharing settings.

Understanding Roles: Admin vs. Worker

The first person to claim a program is automatically designated as the Program Admin.

Role Access Level
Program Admin Full access to all program tools, including the My Team tool to add or remove staff.
Worker Full access to program tools (referrals, reports, etc.) except for the My Team tool.

Adding New Team Members

To grant a colleague access to your program tools:

  1. Log in to your account (Use the login credentials you claimed the program with). Click on My Program Tools and select My Team.

     

  2. Click the Invite Team Member button.

  3. Enter their information and select which program(s) they should access. Choose their role (Admin or Worker).

  4. Click Send Invite.

 

 

Editing or Deactivating Users

  • To Edit: In the My Team menu, locate the user and click Edit. You can update their contact info or change their role from Worker to Admin.

  • To Deactivate: If a staff member leaves, find them in the list and click Deactivate. Follow the prompts to confirm the removal of their access.

 

Team Sharing Settings

Team sharing allows your staff to collaborate on care. When enabled, your team can see and interact with:

  • Referrals made by other staff members.

  • Navigation Notes regarding specific seekers.

  • Goals set for individuals your organization is helping.

Note: Team Sharing is on by default for all programs claimed after July 7, 2020. You can toggle these settings at any time within the My Team tool to best fit your organization’s privacy needs.
